PRIVACY NOTICE – WHAT PERSONAL INFORMATION WE HOLD AND HOW WE USE IT

 

WHAT THIS NOTICE IS ABOUT

This privacy notice is to let you know that we promise to look after your personal information in accordance with the General Data Protection Regulations (2018), which come into effect on 25th May 2018. This includes what you tell us about yourself and how we use that information in relation to your being a Member, Friend or Season Ticket holder of Players Dramatic Society. This notice explains how we do this and tells you about your privacy rights and how the Law protects you.

 

WHAT INFORMATION WE COLLECT AND HOLD

When you apply to become a member, register as a friend or season ticket holder of Players Dramatic Society, we ask you to complete a paper form, which gives us the information set out below for members (for friends and season ticket holders, the information marked with an asterisk only):

*Address

*Telephone numbers (landline and/or mobile)

*Email address

Age

Your preferences relating to areas of interest in our theatre activities

(Youth Members) Name of parent or Guardian

Details of Disclosure and Barring Service checks (DBS) where applicable

This information is held by our Membership Secretary (Ticket Secretary for season ticket holders) securely in paper form and electronically as a password protected spreadsheet list.

We do not collect any personal information from our website, though there is an access point for sending us an email.

 

WHO WE ARE

Players Dramatic Society is an amateur theatre organisation based in Players Theatre, Anfield Road, Cheadle Hulme CHEADLE SK8 5EX. Our website is playersdramatic.co.uk and we may be contacted by email at info@playersdramatic.co.uk or by telephone on 0161 485 1441 (usually answer machine only). Other contact details may be obtained from our website www.playersdramatic.co.uk

 

 

 

WHY THE INFORMATION IS BEING COLLECTED

The information is being collected so that we may be able to communicate with members, registered friends and season ticket holders regarding the activities of Players Dramatic Society. We send out newsletters and news items of interest to members and friends. We use the information to direct members towards the most suitable activities according to their preferences, to inform them of all matters concerned with their participation in productions, to inform them of social events, to collect annual subscriptions and to renew season tickets.

 

HOW WILL THE INFORMATION BE USED?

The information will be used to communicate with members, friends or season ticket holders by email or letter. This personal information will not be shared with any person or organisation outside the Society other than our online ticket organisation; and, particularly, not shared with any third-party marketing organisation.

 

SHARING OF PERSONAL INFORMATION

We share your personal information with our online ticket organisation Ticketsource, so that members and season ticket holders may book tickets online themselves. Ticketsource are fully compliant with General Data Protection Regulations (GDPR). TicketSource is a member of STAR (the Society of Ticket Agents and Retailers) which requires TicketSource to comply with an industry Code of Practice. TicketSource also uses the latest extended validation security (EV SSL) certificate and is PCI DSS compliant ensuring that tickets are sold in a safe and secure environment. USE OF COOKIES ON OUR WEBSITE

We use cookies on our website to facilitate use of the site. Cookies are small files which a site or its service provider transfers to your phone or desktop storage through your web browser (if you allow) that enables the site’s systems to recognize your browser and browsing habits. HOW THE LAW PROTECTS YOU

General Data Protection Regulation (2018) law says that we are only allowed to use personal information if we have a proper reason to do so. There are several such reasons listed under the Regulation. The reason and legal basis for us to hold this information is our legitimate interest in communicating with members, registered friends and season ticket holders for the efficient running of the Society. The Regulation gives you the right:

To obtain a copy of your information

To have it amended if incorrect

To have personal data erased

 

HOW TO GET A COPY OF YOUR PERSONAL INFORMATION, HOW TO HAVE IT AMENDED AND HOW TO HAVE IT ERASED

You may request a copy, an amendment or an erasure of your personal information at any time by emailing info@playersdramatic.co.uk, by writing to us at Players Dramatic Society, Anfield Road, Cheadle Hulme, CHEADLE, SK8 5EX, or telephoning 0161 485 1441. You may also write, telephone, email or speak directly to the Membership Secretary or any member of the Executive Committee, names and contact details for whom are listed on the membership card. We will endeavour to respond as soon as possible, but in any event within a month of the request.

 

HOW LONG WE KEEP PERSONAL INFORMATION

We will keep personal information for the duration of membership or for the duration of registration as a friend of the Society or a Season Ticket holder.

 

YOUR RIGHT TO COMPLAIN

Please let us know if you are unhappy with the way in which we have dealt with your personal information and we will endeavour to put it right.

You have also the right to complain to the Information Commissioner’s Office (Details on their website).
